To get the most out of Dentrix, it’s important to follow a specific hierarchy when setting up the appointment book. This process starts with the global default settings, which lay the foundation for everything else. These settings ensure that our practice’s unique needs are met and that all subsequent configurations align with these overarching parameters.
Practice Schedule
Next, we focus on the practice schedule. This involves defining the hours of operation, holidays, and any other time-specific details that affect the entire practice. By doing so, we create a clear structure that helps prevent overbooking and ensures that we have enough time to provide quality care to our patients.
Provider Setup
Following the practice schedule, we move on to provider setup. This step is crucial because it tailors the schedule to the specific needs and availability of each provider. By accurately inputting each provider’s working hours and preferences, we can optimize their time and reduce gaps in the schedule. Following this step will also give your team pop-up warning messages when someone on the team is trying to schedule a patient with a provider who is not setup to work on a particular day.
Operatory Setup
The final step in the hierarchy is the operatory setup. This involves configuring each operatory’s availability and ensuring that the resources are allocated efficiently. I understand that you can use an event in the Dentrix appointment book to block out a treatment room, however using an Event does not close the hours in that treatment room. Your analytics reports will still calculate open time in that operatory.
Additionally, Dentrix offers workstation-specific settings, such as views, which allow us to customize the appointment book based on the preferences for each workstation. This customization helps everyone see the information most relevant to their role, enhancing their efficiency. You can create appointment book views to visually see production, notes, insurance plan, and other details.
By following this structured approach to setting up our appointment book, we’ve been able to make data-driven decisions that have significantly improved the efficiency of our practice. Properly mapping out our schedule not only helps us stay organized but also ensures that we provide the best possible care to our patients.
