Top 3 KPI’s for the clinical team

One of our live Novonee webinars this month was the top three KPIs the clinical team should be monitoring. The reason I thought this would be a great topic is because most clinical team members did not go into this field of work because they wanted to learn how to run a business. What I do know is that you do become a clinician because there is a lot of income potential with dental hygiene and assisting. When you know what numbers you can influence in your practice, the potential for practice profitability goes up which will make your compensation go up.

The top three KPIs we talked about during our live webinar a couple weeks ago were net production per day/hour, dental supplies, and your time sheet. All three of these important numbers directly affect the practice revenue and profitability. The definition of profitability is revenue — expenses and the clinical team has the power to influence both of these pieces of the practice Profit & Loss Statement. That is a lot of power!

  • Net production per day and per hour – you always want to look at the net production because this is what is collectable. If you can’t collect, it doesn’t make it into the bank account. In your Dentrix software, you can add your practice production goals so you can easily track these numbers on the appointment book, the Daily Huddle Report and the Practice Advisor Report.
  • Dental Supplies – find out what your percentage goal is for your clinical dental supplies and learn how to track it. Maybe you can work with your Henry Schein rep to make sure you stay within that budget so you can help control expenses. If you work with several different vendors, perhaps create an Excel spreadsheet to track it.
  • Time Clock – employees are the most expensive line item on the P & L and it is up to you to make sure you are keeping an honest record of your hours. I bring this up because I see it all the time with team members padding their time clock to get a few more bucks on their paycheck. You will receive a far more long-term benefit in your compensation package when the practice is profitable. The owner will have the funds to create retirement benefits, healthcare options, CE opportunities, raises, travel rewards and many other benefits when the practice (as a whole) is profitable.

Talk to your doctor or practice owner today about how you can take charge of monitoring some of the practice numbers and tracking some of the expenses to make a difference in your practice. If you take on this responsibility, you will feel like a stakeholder in the business and feel like you are doing good. The best thing is that you will be rewarded for it.
